Queue Management System – System Manual · version 1.0.0
System Manual
Step-by-step instructions for every part of the system. Version 1.0.0.
1. Getting started
Open the system address in a modern browser (Edge, Chrome, Safari, Firefox) on a computer, tablet or phone and sign in with your username and password.
- Menu – on the left. On tablets and phones tap ☰ to open it. On a computer the « button shrinks it to icons.
- Light / dark – the sun / moon button at the top right.
- My profile – tap your initials at the top right to change your name, email, photo or password.
- Install as an app – press Install app at the top (Edge, Chrome, Android), or on iPhone / iPad use Share → Add to Home Screen.
- Sign out – the arrow beside your name. Always sign out on shared computers.
Roles
- System Administrator – everything, including backups and system updates.
- Administrator – rooms and departments, users, settings, screens, reports.
- Supervisor – any counter, all lines, reports, display and kiosk links.
- Front Desk / Nurse – calls new numbers first, gives numbers, sends patients on, cancels numbers.
- Room Staff – calls the patients sent to their room or department, sends them on, completes them.
2. How the queue works
- The patient taps Get queue number at the kiosk and takes the printed ticket. Seniors, PWD and pregnant women tap the second button: their number goes to the priority lane and is called first.
- The number waits at the front desk (the department marked as front desk) and shows on the TV under Next.
- The front desk / nurse calls it. The TV chimes, shows it big and announces: “Number 014, please proceed to Counter 1”.
- The front desk sends the patient to a room or department, for example Consultation, Laboratory or Cashier. The patient keeps the same number and waits in that line.
- That room calls the number, then sends the patient on again or marks them Complete.
Numbers start again at 001 every day by themselves.
3. The queue counter
- Open Queue counter and choose where you are in I am at (e.g. Counter 1, Room 2). The browser remembers it.
- Press Call next (or the N key). The next patient in your line is called: priority lane first, then in the order they arrived. Patients sent to another room of your department are skipped.
- When the patient arrives, press Patient is here (optional).
- Then choose one:
- Send to… – pick the room or department, and if you like one particular room. You can change the lane and add a note for the next room. This is also how you transfer a patient.
- Complete – the visit is finished; the number leaves the queue.
- Skip – the patient did not come. They go to the Skipped list.
- No-show – the patient is gone; the number leaves the queue.
- Call again (R) announces the same number once more.
You must finish your current patient (send, complete, skip or no-show) before calling another one.
Waiting here and Skipped
- Waiting here lists your line. Call calls one particular number; Send… moves it without calling it; Cancel (front desk and supervisors) removes it.
- Skipped: when the patient comes back press Call again, or Back in line to keep their place, or No-show.
Give a number
The front desk can give a number to a patient without a kiosk ticket: choose the lane, type a name or note if you like (staff only, never on the TV), and the ticket prints.
A small sound and message tell you when a new patient joins your line while you are free.
4. Ticket kiosk
- Open it from Display & kiosk apps on a touch-screen PC, tablet or phone at the entrance.
- The ticket prints to the default printer (set the 58 / 80 mm thermal printer as default). Without a printer, untick Print tickets: the number is shown on screen.
- The screen returns to the start after 10 seconds. A double tap never gives two numbers.
- The title, text and the priority button are set in Settings → Kiosk; the ticket text in Settings → Tickets.
5. TV display
- Layout 1 – the number being called, big, with the counters and the next numbers.
- Layout 2 – a video (YouTube link or your own files) with the numbers beside it.
- Layout 3 – every room at a glance: one card per department, one line per room.
Each call plays a chime and a voice (“Number 014, please proceed to Room 2”) and shows a Now calling pop-up. A TV can show all departments or only one, e.g. a TV inside the laboratory.
Browsers only play sound after one tap: tap the screen once after opening it (the Windows one-click shortcut does not need this). The buttons at the top right switch the sound off, choose the voice of that TV and go full screen.
Language, voice, speed, wording, the scrolling announcements and the video are set in Settings → TV display & voice.
6. Display & kiosk apps and TV screens
One TV or tablet
- Open Display & kiosk apps, choose the options, and press Open & install as app on that device (or copy the link to it).
- Press Install (Edge / Chrome / Android) or Share → Add to Home Screen (iPhone / iPad).
- From then on tap the TV display or Kiosk icon: it opens full screen.
On a Windows PC, One-click shortcut downloads a file that opens the screen full screen with sound and silent printing. Copy it into shell:startup to start it every morning.
Several TVs on one computer
- Set Windows to Extend these displays (Windows+P).
- Open TV screens setup in Edge or Chrome on that computer and press Detect screens, then allow it. Identify screens shows each screen’s number.
- Drag TV display or Ticket kiosk onto each screen, choose a department or layout, and Save.
- Download start-up file and double-click it, or copy it into
shell:startup.
Make new links changes the secret key: every old link stops working.
7. Reports & analytics
- Choose the dates (or Today, Yesterday, Last 7 days…).
- Waiting time counts from joining a line until called there; service time from the call until the patient was sent on or completed; whole visit from the ticket until complete.
- Charts: numbers per day and the busiest hours. Point at a bar for the details.
- Tables: each room and department, each staff member, and where patients were sent.
- Export CSV gives every ticket of the period for Excel; Print prints the page.
8. Administration
- Rooms & departments – add departments and the counters or rooms inside them. Exactly one is the front desk. The room name is what the TV announces. Departments with history are switched off instead of deleted.
- Users & roles – add users with a username, role and (for room staff) their department. Leave the password empty to keep it.
- Settings – name, number prefix and digits, ticket text, Start numbers again (new shift), kiosk, TV display and voice, colours and logo.
- Activity log – who did what and when, with CSV export.
9. Backups & system updates
For the System Administrator.
- Backups – make a copy of the files and database, download it, restore the database (with your password), or upload a backup from another site.
- System Updates – connect the local and the online site with the same deploy key and enter the other site’s address. Compare changes lists the files that differ.
- Update the other site now sends this site’s files (local → online).
- Get the other site’s changes brings the other site’s files here (online → local).
- Settings (
config/config.php), the database contents, uploads and backups are never sent.
